Corporate Housing in Alberta: A Buyer's Guide for Travel Managers

Per-diem hotels are the default for crews and project teams, and they are usually the wrong default past two weeks. What to compare, what to put in the agreement, and where corporate housing wins.

If you book travel for a company operating in Alberta, most of your accommodation spend is probably going into hotel room nights that were the right answer for a three-day trip and the wrong answer for a three-month project. This is a practical guide to when corporate housing beats a hotel, and what to ask for once you decide it does.

The line is roughly fourteen nights

Below two weeks, a hotel usually wins on convenience and flexibility. Past two weeks the arithmetic turns, for four reasons that compound:

    • Rate structure. Furnished housing is priced weekly and monthly, with discounts a hotel rate plan does not offer.
    • Tax. Stays longer than 30 days are treated differently from short stays in Alberta, and the tourism levy stops applying.
    • Meals. A kitchen replaces a per-diem line. On a crew of six over a month, this is not a rounding error.
    • Density. A four-bedroom house sleeps a crew that would otherwise occupy four hotel rooms.

    What to actually compare

The mistake is comparing a nightly hotel rate with a nightly furnished rate. Build the comparison on total cost of the assignment instead, and include these lines on both sides:

    • Room or unit cost for the full assignment, taxes included
    • Meals: per diem versus a grocery allowance
    • Parking, which is frequently a separate hotel charge and frequently included in a house
    • Laundry, which is a per-load hotel charge and a machine in a furnished unit
    • Internet, if your hotel rate does not include the tier your team needs
    • Staff time spent on rebooking, extensions and expense reconciliation
    The one that gets missed

Extensions. Project timelines slip. A hotel block at a negotiated rate frequently cannot absorb a four-week extension at the same price, especially in Calgary during Stampede or in Edmonton during a major event. A furnished agreement can be written to cover it up front.

What to put in the agreement

Corporate housing done properly is a written arrangement, not a series of consumer bookings. Ask for these terms explicitly:

A named rate for the full period, including any extension window, so a demand spike does not reprice your crew mid-assignment.

A defined cleaning cadence. Weekly or biweekly housekeeping on a long stay is normal and should be specified rather than assumed.

A single point of contact who can authorise a maintenance visit without a ticket queue.

Consolidated invoicing by property and by month, with the tax lines broken out, so your finance team is not reconciling sixty individual card charges.

A substitution clause. If a unit becomes unavailable, what is the guaranteed replacement standard and who pays the difference.

Travel managers do not actually buy accommodation. They buy the absence of accommodation problems.Premier Stays corporate team

Where the properties need to be

Location strategy for corporate housing is different from leisure. In Calgary, the northeast puts crews close to the airport and the industrial corridor; the deep south serves the hospital and the energy park; Aspen Woods and the west serve anything mountain-bound. In Edmonton, proximity to the Henday matters more than proximity to downtown for most industrial work, while the Ice District is the right base for anything conference-driven.

Tell your provider what the crew is doing each day, not which neighbourhood sounds nice. The right answer is usually not the one with the best photos.
